One of the online solutions sought to reduce or eliminate face-to-face transactions under threats of COVID-19, the Online Student Clearance System or OSCS rolls out of the Information and Communications Technology Management Office (ICTMO) development workshop. Now fully operational to cater to requests of students for clearance, the system designed and developed by ICTMO’s programmer, Mr. Aldwin R. Seboguero, under the directions and supervision of the ICTMO Director, Dr. Ronnel R. Atole, allows students to request clearance from offices anywhere through the internet. It is designed and implemented in the Laravel MVC (Model-View-Controller) framework and is currently hosted in a cloud infrastructure.
The OSCS was designed for the online application, processing, and submission of student clearance with the main goal of minimizing, if not eradicating, face-to-face transactions of students and staff. The interaction between the offices-signatories and student-applicants is transformed into the virtual environment.
Before signing into their accounts, students should first refer to their respective OSAS Coordinators for the issuance of individual activation codes needed to register the combination of account user name and password into the system. Each student is provided with his/her own unique activation code for security. Deficiencies of students will be displayed in their OSCS page, once added by the signatories, and must be settled with the appropriate offices in order to be cleared. Students who have completed clearance can either print it or submit the same directly to the Registrar via a click of a link also provided in the OSCS page.
On June 4, 2020, the ICTMO headed by its Director, Dr. Ronnel R. Atole hosted a virtual meeting with the Campus and College Deans along with their Program Directors; University Registrar and Campus Registrars; OSA Dean and OSAS Coordinators; University Librarian and Campus Librarians; Cashiers; the Laboratory HS Principal; officials of the FSC (Federation of Student Councils); and all other clearance signatories to provide instructions to and gather inputs from users and offices that were later addressed to provide seamless deployment of the OSCS.
Accomplishing student clearance through the OSCS is the first step of the online pre-registration process of students. It works within the framework of the Implementing Guidelines of BOR Resolution No. 22, S. 2020: Academic Plans for the 1st Semester AY 2020-2021.
